Smarter budgeting with AI

A budget helps your student company plan how to manage money coming in and out of the student company, and to decide whether the team can afford its next decision.

Lesson 1 of 1 · 8 min read

Plan how to use your money before you spend it

A budget is your finance plan for the student company. It helps the Finance Director and the rest of the team think ahead about money coming in, money going out, and whether the company can afford its next decision. It is important for the Finance Director to plan ahead so that the student company does not run out of money before it has made any sales.

AI can help turn rough notes into a simple budget, or suggest ways to better manage your money. Your actual receipts and payments should be tracked through the Company Finances page on Company Connect.

Useful finance words

  • Budget: a plan for the money the student company expects to receive and spend, used to help the team decide what it can afford before money moves in or out.

  • Receipts: money coming into the student company, such as sales or shares. All receipts should be recorded on the Company Finances page.

  • Payments: money going out of the student company, such as purchases or supplier payments. All payments should be recorded on the Company Finances page.

  • Stock: the value of materials, work in progress or finished products the student company still has.

  • Profit or loss: The amount of money a student company has made or lost on top of the starting-up capital. You can generate a profit or loss report on the Company Finances page after entering all receipts and payments.

How AI can help with budgeting

AI can help the finance director organise thinking before the team makes a decision. For example, it can turn a list of expected receipts and payments into a simple budget, group costs into sensible categories, compare “what if?” scenarios, or draft a short finance update for a board meeting.

As we know, AI can make up figures if you don’t give it accurate numbers, so it’s important to say whether the amounts you give it are estimates or actual money you have available. When using AI for budgeting, double check all calculations it has made and whether the amounts it suggests match what your student company actually has available.

Budget questions AI can help you explore

  • If we are starting our student company with £-, and are planning to create [insert product or service idea], what types of things might we need to spend our start-up money on before we’ve made any sales?

  • If we make more sales than expected, what should we do first: buy more stock, save the money, repay costs, or plan for future payments?
